Terms of Service

These Terms of Service (“Terms”) govern your use of the SyncScreen platform (“the Service”), operated by Longfield Media (“we”, “us”, “our”). By accepting an account invitation and using the Service, you agree to these Terms.
1. The Service
SyncScreen is a cloud-hosted digital signage platform. It allows organisations to manage playlists of images and videos, assign them to display screens, schedule content, and view proof-of-play reports.
2. Accounts
2.1 Account Creation
Accounts are created by administrators on behalf of your organisation. You will receive an email invitation with a link to set your password. By completing the invitation process, you agree to these Terms and our Privacy Policy.
2.2 Account Responsibilities
You are responsible for:
- Keeping your login credentials confidential
- All activity that occurs under your account
- Notifying us immediately if you suspect unauthorised access
We reserve the right to suspend or ban accounts that violate these Terms.
2.3 Organisation Accounts
Your account belongs to an organisation (customer) within SyncScreen. Your organisation’s administrator controls user access, including the ability to create, modify, and remove user accounts.
3. Acceptable Use
You agree not to use the Service to:
- Upload, display, or distribute content that is unlawful, harmful, threatening, abusive, defamatory, obscene, or otherwise objectionable
- Infringe any intellectual property rights, trademarks, or copyrights
- Transmit malware, viruses, or any code designed to disrupt the Service
- Attempt to gain unauthorised access to other accounts, displays, or systems
- Use the Service in any manner that could damage, disable, or overburden our infrastructure
- Circumvent any rate limits, security measures, or access controls
- Use the Service to display content that violates applicable advertising standards or regulations
4. Content
4.1 Your Content
You retain ownership of all media files, playlists, and other content you upload to SyncScreen (“Your Content”). By uploading content, you grant us a limited licence to store, process, deliver, and display Your Content solely for the purpose of providing the Service.
4.2 Content Restrictions
You are solely responsible for ensuring Your Content complies with all applicable laws and regulations, including but not limited to advertising standards, copyright law, and data protection regulations.
4.3 Content Removal
We reserve the right to remove content that violates these Terms or applicable law, with or without notice.
5. Display Devices
You are responsible for the hardware (screens, media players, network equipment) used to display content via SyncScreen. We provide the SyncScreen Android app for compatible devices but do not guarantee compatibility with all hardware. The app is provided “as is”.
6. Service Tiers & Limits
Your organisation’s account is subject to the limits of its service package, including maximum number of displays, storage capacity, and available features. Exceeding these limits may result in restricted functionality until your package is upgraded.
7. Trial Periods
If your organisation is on a trial, the Service is provided free of charge for the trial duration. We reserve the right to restrict or suspend access when the trial expires. Trial terms (duration, features) are set at the discretion of Longfield Media.
8. Third-Party Integrations
The Service may offer integrations with third-party services (e.g. Canva). Your use of these integrations is subject to the third party’s own terms of service and privacy policy. We are not responsible for the availability, accuracy, or practices of third-party services.
9. Proof-of-Play Data
SyncScreen collects proof-of-play data (impressions) from connected displays. This data is provided on a best-effort basis. We do not guarantee 100% accuracy of impression data due to factors including network interruptions, device restarts, and buffering. Proof-of-play reports should be treated as indicative, not absolute.
10. Availability
We aim to maintain high availability of the Service but do not guarantee uninterrupted access. The Service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control. We will make reasonable efforts to notify users of planned downtime.
Display devices are designed to continue playing cached content during network outages using offline caching.
11. Intellectual Property
The SyncScreen platform, including its software, design, branding, and documentation, is the intellectual property of Longfield Media. You may not copy, modify, distribute, or reverse-engineer any part of the Service.
12. Limitation of Liability
To the fullest extent permitted by law:
- The Service is provided “as is” and “as available” without warranties of any kind, express or implied
- Longfield Media shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service
- Our total liability for any claim arising from these Terms or the Service shall not exceed the amount paid by your organisation to us in the 12 months preceding the claim
- We are not liable for any loss resulting from content displayed on your screens, including but not limited to reputational damage, regulatory fines, or third-party claims
13. Indemnification
You agree to indemnify and hold harmless Longfield Media from any claims, damages, losses, or expenses (including legal fees) arising from your use of the Service, your breach of these Terms, or Your Content.
14. Suspension & Termination
We may suspend or terminate your account or organisation’s access to the Service if:
- You breach these Terms
- Your organisation’s trial or subscription expires
- We are required to do so by law
- We reasonably believe the account is being used for harmful purposes
On termination, your right to use the Service ceases immediately. We will retain your data for a reasonable period to allow retrieval, after which it may be permanently deleted.
15. Changes to These Terms
We may update these Terms from time to time. If we make material changes, we will notify affected users via email or an in-app notice. Continued use of the Service after changes constitutes acceptance of the updated Terms. If you do not agree with the changes, you should stop using the Service and contact your administrator.
16. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
